Client booking detail tutorial

This page shows a customer’s booking details after they have started or completed a booking. Customers can review the vessel, dates, boarding details, payment summary, bond setup, operator contact, services, add-ons, messages, rescheduling, cancellation, refunds and tax invoice download.

One page to manage a charter or ticketed boat event booking

Use the top bar to return to your account bookings or go back to the BookMyWave home page.
Check the booking card for vessel photo, vessel type, boat name, booking reference and booking status.
Review charter dates, boarding time, guests, pickup and drop-off information.
Complete payment if the booking is still pending and payment has not been completed.
Set up bond when the booking is confirmed but card setup is still required.
Reschedule or cancel when the booking rules allow it.
Add food, drinks, extras or service providers after confirmation when available.
Use the payment summary to check charges, discounts, GST, deposit, balance, refund and total.
Download the tax invoice after the booking is confirmed or completed.

What customers see before booking details appear

A spinning loader appears while the booking is being opened.
If sign-in is required, the customer is sent back to the account area to sign in.
If the booking cannot be found, an error message appears with a link back to the account page.
The booking refreshes while the page is open when the browser tab is visible, so payment or status updates can appear automatically.

Status badge and banners
Understand where the booking is up to

Confirmed means the booking is active.
Awaiting approval means the booking is waiting for operator approval. A deadline may be shown.
Pending means payment has not been completed yet.
Expired appears when a pending booking was not paid within the safe payment time.
Cancelled or declined appears in red.
Completed appears after the booking has finished.

Payment incomplete banner appears for pending bookings that still need payment.
Deposit due today appears when only a deposit is required now.
Full payment required appears when the booking date is close enough that the full amount must be paid.
Pay deposit or Pay full amount starts checkout after the page checks the slot is still available.
Checking… appears while the slot is being checked before payment continues.
If the slot has been booked by someone else, a warning tells the customer to choose a different time.
Expired pending booking shows a red banner and does not show the payment button.

This section appears only when early access is included in the booking.
Use it for external providers such as photographers, musicians, decorators or other people who need to access the vessel before the event.
The section explains how many minutes early they can access the vessel when that detail is available.
Existing providers show name, email and phone when entered.
✕ removes a provider from the list.
+ Add provider opens the provider form.
Provider name is required before saving.
Email and phone are optional but helpful for the operator.
Saving… appears while the provider is being added.
Cancel closes the form and clears the typed details.

Add any external providers who need early access to the vessel 60 mins before your event. The boat operator will see these names.

Reschedule button appears only when the booking is allowed to be changed.
Charter bookings can only be rescheduled once. If the booking has already been rescheduled, the customer must contact BookMyWave for further changes.
Reschedule is only available more than 30 days before the original charter. Inside 30 days, the page does not allow normal customer reschedule.
The new date must be within 6 months from today. Dates beyond that range are not accepted.
For charter bookings, the customer opens a calendar, chooses an available date, selects an available slot, chooses duration and then chooses a start time.
Unavailable or too-soon dates are disabled and cannot be selected.
Month arrows move between calendar months where allowed.
Available slots show the time window, minimum hours, available hours and hourly price.
Duration must meet the boat minimum hours and cannot be longer than the hours still available in that slot.
Start times must begin on the full hour, such as 10:00am, 11:00am or 12:00pm. Half-hour starts such as 12:00pm are not used.
The selected time cannot overlap another booking. If the time conflicts, the customer must choose another available start time.
If the new option costs more, a payment window appears for the price difference including GST.
If the new option is the same price or cheaper, the booking updates without charging extra. No automatic refund is shown for cheaper changes.
After a successful reschedule, the booking date, time, pickup and drop-off details update, and the operator, assigned staff and booked service providers are notified.
For ticketed events, customers can choose a preferred available date and optionally a fallback date. If no spots are available, a waitlist message can appear.

Food and beverage items can show image, name, price, description, charging style and minimum quantity.
Charging styles shown to users include per head, per hour and each/flat style pricing.
Quantity controls let customers decrease, type, or increase quantities where the page allows it.
Minimum quantity is enforced when a minimum applies.
The total price updates based on quantity, guest count, duration or pricing type.

Processing… appears while the item is being added.
Success message confirms the item has been added to the booking.
Error message appears if the item cannot be added or payment fails.

Services section appears when service providers have been booked.
Each service card can show image, provider name, category, price and extras.
Extras are shown indented under the related service, with quantity and price.
Available extras can appear under a confirmed service, with price and + Add extra.
Message opens an in-page conversation with the provider.
Email operator or provider appears when direct in-page messaging is not available.
Cancel service or Cancel item appears when the item is still outside the refund cut-off period.
Individual services, food items and extras cannot be cancelled within 14 days of the charter. If the cut-off has passed, the page does not offer the refundable cancellation flow.
Before the 14-day cut-off, cancelling an individual service, food item or extra gives a 95% refund. The remaining 5% is retained as the platform service fee.
Cancelled services and extras are crossed out and marked Cancelled.
Food & Beverage section shows purchased food and drink items with quantity, charging style, total price, message/email option and cancellation option when still allowed.
Add more provider appears when there are additional paid service providers that can be added after confirmation.

Cancel booking section appears when the booking is allowed to be cancelled.
For charter bookings, the cancellation policy text is shown before the cancel button.
Awaiting approval bookings can be voided because payment has not been captured yet.
More than 60 days before the charter, the amount collected is refunded minus a $500 administration fee.
30 to 60 days before the charter, 50% of the amount collected is refunded.
30 days or less before the charter, no booking refund applies.
Cancel booking asks for confirmation before cancelling.
Cancelling… appears while cancellation is being processed.
Cancellation success banner appears after cancellation and shows whether a refund applies.
Cancel & get refund opens the confirmation pop-up when a refund is available.
Keep booking closes the cancellation confirmation.
Individual service, food and extra cancellation has a separate 14-day cut-off. Before that cut-off, the customer receives a 95% refund and 5% is retained. Within 14 days of the charter, individual services cannot be cancelled from this page.
