Managing compliance tracker

Use the compliance tracker to record certificate expiry dates, vessel compliance items, crew/operator documents, reminders, and document uploads.

Compliance Tracker overview
Track vessel, operator, crew, and safety expiry dates

← Dashboard — returns to the main operator dashboard.
Page title — Compliance Tracker is where operators manage certificate and document expiry dates.
Item count — shows how many compliance items are currently saved.
Plan tag — shows the current membership tier and item allowance, such as Free, Paid, or VIP.
Add item — opens the modal to create a new compliance item.
Sorted list — items are automatically sorted by urgency: Overdue first, then Due Soon, OK, and Unknown.
Best use: Add anything with an expiry or renewal date: AMSA survey, registration, insurance, EPIRB, flares, lifejackets, first aid, licences, or WWCC.

Summary cards
Quick view of overdue, due soon, and on-track items

Overdue — items with due dates before today. These require immediate operator action.
Due Soon — items approaching expiry. These should be renewed before they become overdue.
On Track — all remaining active items that are not overdue or due soon.
Hidden when empty — summary cards only appear after at least one compliance item has been added.
Operational priority: Overdue compliance may affect whether a vessel should be made available for bookings.

Compliance statuses
How to read the status pill and urgency colour

Overdue — red. The due date has already passed.
Due Soon — amber. The due date is approaching and needs attention.
OK — green. The item is active and not close to expiry.
Unknown — grey. Used when the system cannot confidently determine a date-based status.
Border colour — the left border of each item matches the status urgency.

Compliance item cards
Each card shows the document, vessel, dates, and actions

Status pill — shows overdue, due soon, OK, or unknown.
Title — the operator-friendly item name, such as “AMSA Survey Certificate”.
Category tag — the compliance category chosen from the dropdown.
Vessel / operator level — shows whether the item belongs to a specific boat, all vessels, or operator/crew.
Due and issued dates — due date is always shown; issued date appears when supplied.
Document link — appears only when a file has been uploaded.
Edit / delete buttons — edit opens the form; delete opens a confirmation modal.

Main form fields and required information

Title * — required. Use a clear name like “AMSA Survey Certificate” or “Public Liability Insurance”.
Category * — choose from built-in categories such as insurance, vessel registration, crew licence, EPIRB, flares, or other.
Applies to * — choose Specific boat or Operator / crew.
Vessel — appears when the item applies to a boat. Operators can select one vessel or leave as all vessels.
Issued date — optional. Useful for certificates with a start date.
Due / expiry date * — required. This is the date used to calculate status.
Notes — optional. Add certificate number, issuing authority, contact, or renewal instructions.
Validation: The form will not save unless Title and Due / expiry date are filled in.

Use uploaded documents to prefill the compliance form

Where it appears — at the top of the Add/Edit modal before the manual form fields.
What it fills — title, category, applies to, issued date, due date, and notes can be prefilled when the document contains those details.
Operator still reviews — AI extraction is a helper. Operators should check every field before saving.
Manual override — extracted fields can be edited manually before saving.
Accuracy tip: Always verify due dates on official certificates. A wrong expiry date can create false safety confidence.

Free item limit — Free operators can only add up to the plan limit shown beside the page title.
Limit reached banner — appears when Free plan has reached its item limit and disables Add item.
Upgrade nudge — shown to Free users who can still add items but do not have reminder/document features.
Paid unlocks — email reminders and document uploads per item.
Unlimited tier — Paid/VIP may show unlimited tracking instead of an item limit.

Reminder days — Paid/VIP users choose when to be reminded before due date: 7, 14, 30, 60, or 90 days.
Free locked row — Free users see a lock message and Upgrade link instead of reminder settings.
Document upload — Paid/VIP users can upload an image, PDF, DOC, or DOCX.
New item upload — if creating a new item, the file is kept pending and uploaded after the item is saved.
Edit item upload — if editing an existing item, the file uploads immediately to that item.
Document preview — when a file exists, a View document link and remove button appear.
Best practice: Upload the official certificate or expiry page so the operator team can verify compliance without searching emails.

Prevents accidental removal from the tracker

Trash button — opens the delete confirmation modal.
Cancel — closes the modal and keeps the item unchanged.
Delete — removes the item from the compliance tracker list.
After deletion — item count is reduced and the Free plan can add another item if it was at the limit.
Warning: Only delete an item if it should no longer appear in the operator compliance tracker.
