Page overview — your partner pool
A central registry of vendors you can assign to any boat
01
Single source of truth — add a vendor here once, then assign them to whichever boats you choose. No need to re-enter details per boat.
Grouped by category — partners are organised into categories (e.g. Photography, Entertainment, Security). Each category appears as a labelled group with its own list.
Status at a glance — each row shows the partner's activation status: Active, Invite sent, or Not invited. See section 02 for the full status guide.
Pricing visibility — your cost, client charge, and margin are shown per row so you can see your markup without opening the edit panel.
Empty state — if you have no partners yet, a dashed placeholder prompts you to add your first one.

Partner statuses — what each colour means
Status pills appear on every partner row
02
Active (green) — the partner has a BookMyWave provider account and is linked to you. They can receive booking notifications and manage their own profile.
Invite sent (amber) — you've sent them an invite email but they haven't yet created an account. The "Send invite" button becomes "Resend invite".
Not invited (grey) — partner is in your pool but hasn't been contacted yet. The "Send invite" button is visible on their row.
Auto-linked — if the email you enter already matches an existing BookMyWave provider, they are linked automatically and skip the invite step entirely. A toast confirms this.
Note: Only Active partners (with linked accounts) show a "View profile →" link. Not-invited and invite-sent partners don't have profiles yet.

Adding a new partner
The inline add form — no page navigation required
03
+ Add partner button — toggles the add form open below the action bar. Clicking it again (now labelled "Cancel") collapses the form without saving.
Inline form — the form appears on the same page in a white card. No new page is loaded.
Required fields — Category, Business/Person name, and Contact email are mandatory. All others are optional.
Add to pool → — submitting adds the partner to the list immediately. The form resets (category is preserved, all other fields clear) and collapses.
Validation — name, email, and category are checked on submit. Cost and charge fields must be numeric if filled in. Inline error messages appear below each failing field.
Next step: After adding, send an invite so the partner can activate their account and receive booking notifications.

04
Category — dropdown populated from your platform categories. Partners are grouped by this on the page.
Business / Person name — the vendor's display name. Shows in your partner list, booking detail pages, and provider emails.
Contact email — used for invite emails and booking notifications. Must be a valid email address.
Phone — optional. Shown on the booking detail page so crew can contact the provider directly.
Pricing note — a short client-facing text (e.g. "From $80pp"). Shown on boat listing pages to give guests a pricing indication.
Charge type — Flat fee (one fixed amount) or Per person (multiplied by guest count at booking time).
Your cost — what you pay the partner. Numbers only (e.g. 300.00). Shown to you, not clients. Used to calculate your margin.
Client charge — what the client pays for this partner. Numbers only. Shown in the financial summary on the booking.
Description — a short service description visible to clients during booking checkout.

Service partners page · Send invite / Resend invite
Inviting a partner
Email a partner so they can create their BookMyWave account
05
When it appears — the "Send invite" button is only visible for partners who do not yet have a linked BookMyWave provider account. Active (linked) partners have no invite button.
Confirmation dialog — clicking "Send invite" shows a browser confirm dialog with the partner's email address before sending. You must confirm to proceed.
After sending — the button changes to "Resend invite" and the status pill updates to "Invite sent" (amber). The invite timestamp is stored internally.
Resend — you can resend at any time if the partner missed the original email. Each resend replaces the previous invite link.
What the partner receives — an email with a secure link to sign up or log in to BookMyWave. Once they complete signup, their status updates to Active and they are linked to your pool automatically.

Editing a partner
Update details inline — expands below the partner row
06
Edit button — clicking "Edit" on a partner row expands an edit panel directly below that row. Only one partner can be in edit mode at a time.
Cancel — while editing, the Edit button label changes to "Cancel". Clicking it collapses the panel without saving.
Same fields as Add — all fields from the add form are available in edit. Category, name, email, phone, pricing note, charge type, cost, charge, and description.
Save changes — submits the update to the server and immediately reflects the new values in the partner row without a page reload.
Validation — same numeric checks as the add form. Invalid cost or charge values show a toast error and prevent saving.
Tip: The edit panel sits inside the partner list card, not on a new page. Scroll down if you don't see it immediately after clicking Edit.

Service partners page · Remove button
Removing a partner from your pool
Unlinks the vendor from all your boats
07
Remove button — a muted "Remove" text button appears at the far right of every partner row. Styled in pale blue-grey; turns red on hover to indicate a destructive action.
Confirmation dialog — a browser confirm dialog appears with the partner name and a warning that they will be unlinked from all your boats. You must confirm to proceed.
Immediate effect — the partner is removed from the list without a page reload. A toast confirms the removal.
What gets unlinked — the partner is removed from your operator pool and from all boats they were assigned to. Past booking records referencing them are not affected.
Caution: Removing a partner unlinks them from all boats simultaneously. There is no undo — you would need to re-add and re-assign them.

Talent pool — discovering new partners
Browse vetted providers already on BookMyWave
08
Browse Talent Pool → — a link in the action bar that navigates to /operator/talent-pool. Lists service providers who already have BookMyWave accounts.
Pre-linked advantage — adding a provider from the talent pool will auto-link them (no invite step needed), since they already have an account. Their status goes straight to Active.
Alternative to manual add — instead of typing a partner's details from scratch, find them in the talent pool and add them from there. Their category, description, and profile photo carry over automatically.
Best practice: Check the Talent Pool before manually adding a partner — they may already be on the platform, which skips the invite process entirely.

Auto-link flow: Partner found in Talent Pool → Add → Immediately Active. No invite email needed.
Manual add flow: Fill form → Add to pool → Send invite → Partner signs up → Status becomes Active.
