Privacy Policy

Last updated: September 2026

1. Information We Collect

BookMyWave collects information you provide directly to us, including your name, email address, phone number, and booking details such as charter date, vessel, guest count, event type, and pickup or drop-off locations. Boat operators may provide vessel information, availability, and information required to receive payouts.

2. How We Use Your Information

We use your information to provide and operate BookMyWave, process and confirm bookings, send booking confirmations and reminders, notify boat operators of reservations, coordinate service partners selected for a booking, provide boat-matching functionality, manage availability, prevent misuse of the platform, and improve our services.

3. AI-Powered Boat Matching

BookMyWave provides an AI-assisted boat-matching feature to help users identify suitable charter boats. Information entered directly by users, such as the number of guests and the nature or type of an event, may be processed using the Google Gemini API for the purpose of generating suitable boat matches or recommendations.

This AI functionality operates independently from BookMyWave's Google Calendar integration. Google Workspace API data, including Google Calendar data, is not sent to Google Gemini or any other AI or machine-learning service for boat matching.

4. Google Calendar Integration

BookMyWave allows eligible users, including boat operators, to connect their Google Calendar to support calendar synchronisation, booking availability, and booking management.

When you authorise BookMyWave to access Google Calendar, Google Workspace API data is used only to provide the user-facing calendar functionality that you have authorised. BookMyWave does not use Google Calendar data for advertising or unrelated purposes.

5. Google Workspace API Data and Limited Use

BookMyWave's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

Google Workspace API data, including raw or derived Google Calendar data, is not used to develop, train, or improve generalized or non-personalized artificial intelligence or machine-learning models.

Google Workspace API data is not provided to Google Gemini or any other AI/ML service for AI matching, model training, model development, or model improvement.

6. Payments

All payments are processed securely by Stripe. BookMyWave does not store customers' full credit card details. Payment processing is subject to Stripe's applicable privacy and data-handling practices. Operator payouts may be handled through Stripe Connect.

7. Data Sharing

We do not sell your personal information to third parties. Information may be shared only where necessary to provide BookMyWave services, including with the boat operator, service partners you select as part of your booking, payment providers, and technology providers used to operate the platform.

Service providers receive only information reasonably necessary to perform the relevant service. Google Workspace API data is handled separately in accordance with the requirements described above.

8. Communications

We may send booking confirmations, booking updates, event reminders, service notifications, and post-event review requests by email. These communications are primarily transactional and related to your use of BookMyWave. You may contact us to opt out of non-essential communications where applicable.

9. Data Retention

We retain booking and transaction records for as long as reasonably necessary to provide our services and meet applicable financial, tax, accounting, legal, dispute-resolution, and regulatory obligations. Certain records may need to be retained for at least seven years where required by law.

You may request deletion of your account and associated personal information by contacting us, subject to any information we are legally required or otherwise permitted to retain.

10. Cookies

BookMyWave may use essential or session cookies to maintain login sessions, security, and booking progress. We do not use your Google Workspace API data for advertising purposes.

11. Your Rights

Subject to the Australian Privacy Act 1988 and other applicable laws, you may have rights to request access to, correction of, or deletion of personal information held about you. To exercise these rights, contact us using the details below.

12. Security

BookMyWave uses reasonable technical and organisational safeguards designed to protect personal information against unauthorised access, disclosure, alteration, loss, or misuse. Data transmitted between users and BookMyWave is protected using HTTPS.

13. Third-Party Services

BookMyWave may use third-party service providers to operate certain platform features, including Google services for calendar integration and AI-assisted matching, and Stripe for payment processing. Your use of these services may also be subject to the relevant provider's privacy terms.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to BookMyWave, applicable laws, or our data-handling practices. The latest version will be published on this page with an updated revision date.
